General Dynamics Information Technology Administrative Assistant III- TS/SCI Polygraph in Warrenton, Virginia
Performs a variety of general administrative tasks in support of the day-to-day operations of an office, group or customer.
Primary POC for all customer training coordination requirements which will require significant organizational skills, attention to detail and ability to deliver customer service. Maintain course registration tracking and course feedback to ensure 95% attendance goal. The tracking must accurately detail enrollee information and produce reports as requested to demonstrate goals that affect program growth and funding.
Candidate will ensure course material requirements are available and work with instructions to determine inventory levels. Candidate must be able to cultivate long term relationships with instructors, students/organizations, and vendor to facilitate strong course perception. Strong customer service skills are a must. Candidate will provided back-up support to other areas as needed. Candidate will effectively track and input statistics for within customer tracking system to measure class sizes, attendee type and related travel costs.Candidate must be able to exercise critical thinking skills to manage multiple and competing tasks with limited supervision. The candidates ability to demonstrate accurate reporting of course metrics is a must. Candidate will provide support to other administrators to ensure all training demands are met. AA must be willing to learn additional Customer databases to provide back up support. AA will communicate with OCONUS destinations to get fiscal budget data to process Customer travel approvals within Customer travel system. As needed, AA will provide voucher preparation for instructors and enter into Customer travel system. AA will create estimates for travel as well as confirmed travel reservations within Customer travel system for a tema of 26 instructors. AA must possess prior experience with travel system and will need to deploy with this skill.
Performs a variety of general administrative tasks, such as preparing reports and correspondence, coordinating travel and meeting arrangements, answering phones, filing, and sorting and distributing mail, in support of the day-to-day operations of an office, group or customer.
Compiles and analyzes various contract, program, and financial data using various database programs, and prepares monthly status reports based on the results.
Collects and inputs timesheet information into automated accounting system and processes labor corrections.
Processes purchasing requisitions, invoices for consultants and subcontractors, and travel and expense reports.
Serves as point of contact for the office or group on issues related to accounting, human resources, purchasing, and other departments, as well as external contacts such as customers, vendors, and subcontractors.
Provides work leadership to less experienced clerical and administrative personnel, and may have limited supervisory responsibilities.
Participates in special projects as required.
Associates Degree in a related business discipline, or the equivalent combination of education, professional training, or work experience.
5-8 years of related administrative experience.
